How much confidence do you have in your supplier information?

Accurate and up-to-date supplier information is the foundation of any good Approved Supplier or Supply-Chain program. However, confidence can be easily lost when this information is incomplete or inaccurate. In this article find out the different types of supplier information you may need to request and what to do when all confidence is lost.

Types of Supplier Information

As part of your Approved Supplier Program, you will need to request all sorts of information from your supplier. Supplier information can include things like:

  • Allergen knowledge and handling practices
  • Third-party food safety compliance certifications
  • Ingredient specifications or product information form (PIF)
  • Sampling and testing reports
  • Certificate of Analysis
  • Food safety records
  • Corrective actions for supply-chain issues
  • Insurances
  • HACCP Plans
  • Country of Origin
  • Nutritional Information

Allergens Matter

When it comes to allergens, accurate supplier information is crucial. You will need to have a thorough understanding of what allergens your supplier handlers so you can correctly assess the allergen risk within your own organisation.

Errors, Lies and Laziness

If you have any concerns about the information provided, you should always query your supplier. This includes when you find anything unusual or unexpected in the supplier documentation.

You need to have a good understanding of what you are looking for and what information is required. This knowledge will help you to identify errors quickly and call-out unacceptable information.

Do not accept data gaps! Just remember, you need good quality supplier information to ensure that the information you are required produce is accurate.

Keep Asking Questions

It is recommended that you keep asking questions of your supplier until you are satisfied with the response. If it turns out that your supplier is being difficult, the best thing you can do is change suppliers when you have lost confidence. If you identify major problems which can impact public health, it is best to report the issue to your relevant food safety authority.
